The worst thing when reaching out a prospect via Cold Email you can do is sound like a machine. And most often than not that doesn’t happen with your script but how you write their names and business names.

The purpose of this SOP is to ensure your VA has all leads ready to launch when it is time to have campaigns go live.

This is done by making sure all names, emails, and business names are in alignment with the format necessary to have a successful cold email campaign.

Cleaning Business Names:

  1. Read through the “Business Name” portion of a lead list. Think to yourself “Does this sound like the way I would use a businesses’ name in a sentence?”

Let’s look at examples that don’t make sense:

Now take these examples and put them into a made-up sentence “I came across (Business Name) and I was really impressed”.

You’ll notice none of the above come across as correct or professional. The correct way to put it would be “One Line Labs”.

It’s properly capitalized, doesn’t contain non-business name information, and also doesn’t contain legal name extras (LLC, CORP, Company”).

  1. For all “Business Name” sections that don’t look correct click on the website link and see how the company has their name listed, this should match in the “Business Name” section of the list. Keep in mind the logo may be in all caps or have a tagline, but that doesn’t mean you’d use that in a sentence. Correct all to a proper format, and say out loud how it’d sound in a sentence to confirm it’s correct.
